This policy explains what personal data we collect when you use firestoppingproducts.com, why we collect it, and what rights you have over it. It applies to this website only.

Who we are

This site is operated by Passive Fire Products Ltd, a company registered in England and Wales under company number 12132076, registered office 85 Great Portland Street, First Floor, London W1W 7LT. We are the data controller for the personal data described below.

What we collect

  • Order information — your name, company name, billing and delivery address, email address and phone number.
  • Account information — if you create an account or apply for a trade account, the details you give us on that form, including company and trading references.
  • Payment information — card payments are processed by our payment provider. Your full card number never reaches our website and we do not see or store it. We receive only confirmation of payment and the last four digits.
  • Enquiry information — anything you send us through a contact form or by email, including drawings and specifications you ask us to review.
  • Marketing information — your email address, if you sign up for our mailing list.
  • Technical information — IP address, browser type and pages viewed, collected through cookies and server logs.

Why we use it, and our lawful basis

  • To take, fulfil and deliver your order, and to handle returns and warranty claims — performance of a contract.
  • To answer technical enquiries and quote for work — taking steps at your request before entering a contract.
  • To assess and operate trade accounts, including credit checks where relevant — legitimate interests in managing credit risk.
  • To keep accounting and VAT records — legal obligation.
  • To send marketing emails — consent, which you can withdraw at any time using the unsubscribe link in any email.
  • To keep the site secure and working — legitimate interests.

Who we share it with

We share personal data only with organisations that need it to deliver what you have asked for:

  • Our payment provider, to take and secure your payment.
  • Couriers and pallet carriers, to deliver your goods.
  • Manufacturers and suppliers, where an item is despatched direct to you.
  • Our email marketing provider, if you have subscribed.
  • Our accountants, and HMRC where the law requires it.

We do not sell your personal data, and we do not share it with anyone for their own marketing.

Cookies and analytics

Some cookies are essential and are set as soon as you use the site. They keep your basket and checkout working, remember you if you sign in, and help our payment provider Stripe spot fraudulent card use. Without them the shop does not function, so they are not optional.

Everything else waits until you say yes. When you first arrive you are asked whether to allow analytics cookies. Nothing non-essential is loaded, and no analytics cookie is set, unless you choose “Accept analytics”.

If you accept, we set:

  • Google Analytics cookies (_ga and _ga_20WD7GY9M9), which give your browser an anonymous identifier so we can count visitors and see which pages and products are used. They last up to two years.
  • Attribution cookies (names beginning sbjs_), which record how you reached the site — a search, an advert, a link from somewhere else — so we can tell which of those actually brings in orders. These are short-lived.

Measurement data is sent to Google Analytics. It passes through our own servers first rather than going to Google directly, and includes your IP address, the pages you view and, if you buy, the order value and the items ordered. Google acts as our processor and may store and process the data outside the UK. Google’s own privacy policy is at policies.google.com/privacy.

We do not use advertising or profiling cookies, and we do not sell or share your browsing data with anyone else.

Changing your mind. There is a “Cookie settings” link at the foot of every page. Choosing “Essential only” there deletes the analytics and attribution cookies straight away and stops any further measurement. Your choice is remembered for six months, after which we ask again. If your browser sends a Global Privacy Control signal we treat that as a refusal and do not ask.

You can also block or delete cookies in your browser settings, though parts of the site — the basket and checkout in particular — will not work properly without the essential ones.

How long we keep it

Order and invoice records are kept for seven years to meet HMRC requirements. Trade account records are kept for the life of the account and seven years afterwards. Marketing consents are kept until you withdraw them. Enquiries that do not become orders are kept for two years.

Where your data is held

Our website and databases are hosted in the UK or the EEA. Some of our service providers may process data outside the UK, in which case appropriate safeguards such as the UK International Data Transfer Agreement or adequacy regulations apply.

Your rights

Under UK GDPR you have the right to ask us for a copy of the personal data we hold about you, to have it corrected, to have it deleted where we no longer need it, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on consent, you can withdraw that consent at any time. To exercise any of these rights, email sales@firestoppingproducts.com and we will respond within one month.

Complaints

If you are unhappy with how we have handled your personal data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk, or on 0303 123 1113.
